Three-Page Project Management Workshop

The agenda for this three-hour hands-on workshop is:

1. The project management mindset, “DEFINE, then DELIVER”.

2. The work breakdown structure (WBS): a one-page tool to establish a common high-level understanding of research scope expressed in terms of deliverables. Breakout groups of 2-3 people create WBSs.

3. The deliverable-based Gantt chart: a one-page tool to describe when and how the deliverables of the research will come together. Breakout groups of 2-3 people begin creating a deliverable-based Gantt charts.

4. The deliverable-based tracking sheet: a one-page tool to identify emerging risks and drive progress at a more granular level during the implementation phase of the research.

5. Time for questions and answers with participants.

The agenda for this two-part 6-hour workshop is:

Module 1 (3 hours)

1. Distinguishing projects from operations with live polling activity.

2. The project management mindset – DEFINE, then DELIVER.

3. Scope and the work breakdown structure (WBS) (includes a breakout group activity).

4. The deliverable-based Gantt chart (includes a breakout group activity).

5. The deliverable-based budget.

6. The triple constraint of scope, time, and cost.

7. Optional independent work (when modules are one week or more apart).

Module 2 (3 hours the afternoon of the same day as Module 1, or up to 3 weeks later)

8. Optional review of 2-3 volunteer participants’ independent work.

9. Risk identification and management (includes a breakout group activity and live polling).

10. Transitioning from planning to implementation.

11. Roles and responsibilities during project implementation.

Project/Program Kick-off or Reset Services

Over ~2 to 5 weeks, RPM will:

1. Review existing documentation (e.g., research grant application, progress reports, funding agreement, etc.)

2.Work iteratively with the research lead and their designated project manager, coordinator, or assistant to develop and populate three project management tools:

A work breakdown structure to articulate the scope of the research.
A deliverable-based Gantt chart to describe when and how the deliverables of the research will come together.
A deliverable-based tracking sheet to identify the leads for each deliverable and identify emerging risks and drive progress during research implementation.

3. One-on-one support for the introduction of the project management tools, and the first update of the tracking sheet (typically 1-3 months after kick-off or reset).

OPTIONAL additional services:

4. Facilitation of the kick-off/reset meeting.

5. Facilitation of a process to identify risks and risk responses for the research.

6. Development of a governance and management plan.

4. Governance and management organograms and decision-making for research programs, centres, or portfolios. Breakout groups of 2-3 people begin creating governance and management organograms.

Productive Research Meetings

Researchers count on meetings to bring together the expertise of their teams to make good decisions. Unfortunately, the inherent uncertainty and complexity of research can make it challenging for researchers to use meeting time effectively and conduct productive meetings.

Participants of this 1.5-hour (90-minute) workshop learn tools (e.g., a marked-up agenda), processes (e.g., two options for consensus-based decision making), and techniques (e.g., the five-finger method) to increase the effectiveness of their research meetings.

The workshop includes a fun simulated meeting exercise to help participants practice applying the learnings, even when disruptive meeting attendees are present.
